The business then searches several places before deciding whether to release goods.<\/p>\n<h2>Keep evidence inside the order trail<\/h2>\n<ol>\n<li>Link the customer conversation to the correct quote or order.<\/li>\n<li>Record the payment evidence against that trail.<\/li>\n<li>Keep the uploaded state distinct from an approved state.<\/li>\n<li>Give the decision to an authorised payment-control role.<\/li>\n<li>Approve and release eligible work, or reject it with a follow-up reason.<\/li>\n<li>Keep the decision visible to sales and fulfilment.<\/li>\n<\/ol>\n<h2>What an owner should verify<\/h2>\n<ul>\n<li>Customer and order identity.<\/li>\n<li>Expected amount, currency, and payment context.<\/li>\n<li>Evidence supplied and the person who reviewed it.<\/li>\n<li>Approved, rejected, or awaiting-payment state.<\/li>\n<li>Whether fulfilment was released and what remains blocked.<\/li>\n<\/ul>\n<p>Payment evidence is part of the operating trail.
