Then make sure someone accepts responsibility.

“Please follow up on this customer” is not enough. Follow up about what? Is the customer choosing a size, waiting for payment approval or collecting a package? The incoming colleague needs a short account of the unfinished job, not another task to investigate.

Use this checklist at the end of a shift, before a colleague’s day off or whenever an order moves to a different team. Adapt the names and timing to your business. Keep the steps consistent.

Before your team starts using the checklist

Name the shift lead, the people answering sales enquiries, the payment reviewer and the person handling preparation. Make clear who can decide on a shortage, disputed payment, refund request or changed collection plan. Staff should know where to take an exception before a customer is waiting.

In a configured IGFirstERP Sales Inbox, staff deliberately claim and release conversations. Agree who reviews unassigned work at the start of the shift. The incoming person should read the earlier agreement and connected records before replying.

1. Check the agreed order

Record the exact product, variation, quantity, unit and supplying location. Confirm the accepted price and any delivery or collection arrangement. If the customer is still choosing, say so; an enquiry must not be handed over as a confirmed order.

Connect the appropriate quote or order to the conversation. Do not leave the final version buried beneath several photos and changed requests. If the item changed, make the latest agreement easy to identify.

2. State what happened with payment

Keep payment evidence with the relevant order and identify the review position: waiting, approved or rejected. An uploaded screenshot does not mean that the money has been checked.

Leave the next action with the authorised reviewer when a decision is pending. Sales should tell the next shift that review is outstanding, rather than pass along an uncertain “I think they paid.” If a balance remains, state the amount from the agreed order and reviewed payments.

<picture></picture>
Use this as a shift review, not as a substitute for the order record.

3. Check preparation and the customer promise

Is the order waiting to be picked, being checked, ready for collection or already dispatched? Record the actual position. If an item is missing or damaged, leave the issue open with the person who is resolving it.

Repeat the promise made to the customer: the collection location, planned dispatch or next update. A promised time is useful context; it is not proof the work is complete. If the team cannot meet it, assign someone to explain the change promptly.

4. Write a handover note that answers five questions

Use a short note with the order reference, agreement, current position, unresolved issue and next action. Add who takes over and when the action is due. Use plain language the incoming colleague can understand without calling you.

For example: “Training order DEMO-014: two black medium bags, collection tomorrow. Payment evidence submitted; reviewer decision pending. Preparation has not been confirmed. Tunde to check both before sending the collection update by 10am.” This is a fictional note, not a record of a real customer.

Leave out commentary about the customer or your colleagues. Record the work and any relevant evidence. “Customer is difficult” does not help someone resolve a missing product or explain an outstanding balance.

<picture></picture>
Fictional handover note for staff practice.

5. Transfer responsibility deliberately

Agree the incoming owner, record the note and release the conversation for that person to claim. The incoming colleague should acknowledge that they have read it and can take the next step.

If nobody can take over, bring the item to the shift lead. An unassigned conversation still needs a decision. Do not assume that putting it back into a shared queue guarantees it will be answered before the customer follows up.

6. Review the unfinished list before leaving

The shift lead should check unassigned enquiries, inactive claimed conversations, payment reviews, paid orders waiting for preparation and dispatch or collection issues. Each unfinished item needs a person and next action.

A short review is more useful than a long list copied into a group. Prioritise customers with a promised update, goods ready for collection and decisions holding up another team. Leave completed work out of the exception list so genuinely waiting orders are easy to see.

Common handover mistakes

Do not mark an order finished just because sales has completed its part. Do not approve money on another colleague’s behalf. Do not replace an unavailable variation without agreement. Do not pass a problem along without saying who can decide.

The incoming shift should also avoid restarting the whole conversation. Read the note, verify what has changed and ask only for missing information. Customers notice when a business remembers what they have already explained.

You’re done when…

The incoming colleague can identify the current agreement.

Payment review and any remaining balance are clear.

Preparation, dispatch or collection has an accurate status.

The customer’s next update has an owner and time.

Responsibility has been accepted, or the shift lead has taken the exception.

Put this into your next working day

See the connected WhatsApp sales workflow.
